Able IT Pros (“Company,” “we,” “us,” or “our”) operates Access Station (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. Please read this policy carefully.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your email address, full name (optional), and an encrypted hash of your password. If you sign in through Google or Microsoft OAuth, we receive your email address and display name from those providers.

2.2 Uploaded Documents

When you upload PDF documents for scanning, we temporarily process the file contents to perform accessibility analysis. Uploaded files are processed in memory and are not permanently stored on our servers after the scan is complete. Scan results (findings, scores, and metadata) are stored in our database and associated with your account.

2.3 Payment Information

Payment transactions are processed through our third-party payment processor (Authorize.Net). We do not store your full credit card number on our servers. Our payment processor may store tokenized payment information in a secure customer profile for recurring billing purposes.

2.4 Usage Data

We automatically collect certain information about your use of the Service, including scan history, feature usage, timestamps, and general usage patterns. This data helps us improve the Service and provide support.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your PDF accessibility scans and generate reports
  • Process payments and manage your subscription
  • Send you transactional emails (email verification, password resets, payment receipts)
  • Respond to your inquiries and provide customer support
  • Monitor and analyze usage to improve the Service
  • Detect, prevent, and address technical issues or security threats

4. Data Retention

Uploaded PDFs: PDF files are processed in memory during scanning and are not retained after the scan completes. We do not permanently store your uploaded documents.

Scan Results: Your scan history, including conformance scores, findings, and file metadata (filename, page count, file size), are retained in your account for as long as your account is active. You can delete individual scan records from your history at any time.

Account Data: Your account information is retained for as long as your account is active. If you wish to delete your account, contact us at info@ableitpros.com and we will delete your data within 30 days.

5. Third-Party Services

We use the following third-party services to operate Access Station:

  • Authorize.Net — for processing payments and managing recurring subscriptions
  • Neon (PostgreSQL hosting) — for database hosting and storage of account and scan data
  • Anthropic (Claude AI) — for AI-assisted accessibility analysis. Document content may be sent to Anthropic's API for analysis during scans that include AI checks. Anthropic does not use this data for training purposes.
  • SMTP email provider — for sending transactional emails (verification, notifications)

Each third-party service has its own privacy policy governing how they handle data. We encourage you to review their policies.

6. Cookies & Tracking

The Service uses browser local storage to maintain your authentication session (JWT tokens). We do not use third-party tracking cookies, advertising cookies, or analytics services that track users across websites.

7. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encrypted passwords using bcrypt hashing
  • HTTPS encryption for all data in transit
  • JWT-based authentication with short-lived access tokens
  • Tokenized payment processing (we never store full card numbers)
  • Role-based access controls for administrative functions

While we take reasonable measures to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

8. Your Rights

You have the right to:

  • Access — request a copy of the personal information we hold about you
  • Correction — request correction of inaccurate personal information
  • Deletion — request deletion of your account and associated data
  • Data Portability — request your scan history and reports in a downloadable format

9. Children's Privacy

The Service is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will take steps to delete such information promptly.

We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy on the Service and updating the “Last updated” date. Your continued use of the Service after such changes constitutes acceptance of the updated policy.
